How to Handle STOP and Not Interested Replies
· 3 min read
You will get replies you do not want. That is a sign the outreach is working, not failing. What you do with them decides whether you keep your reputation, your sending address and, in many places, stay within the law.
Sort every reply into one of these
| The reply | What it means | What you do |
|---|---|---|
| "STOP", "unsubscribe", "remove me", "don't contact me" | An opt-out | Never write again. Do it now |
| "Not interested" | A no | Thank them once if you like, then stop |
| "Not now", "maybe next quarter" | A later yes | Ask once if you may check back, or note the date |
| "Wrong person", "talk to my manager" | Right company, wrong contact | Ask for the right contact, politely |
| "Who are you? How did you get my address?" | Suspicion | Answer honestly and briefly; offer to remove them |
| "How much?", "Tell me more" | Interest | Answer yourself, quickly |
| Out-of-office or an automatic message | Not a person | Ignore it, and send nothing in response |
| An angry reply | A hurt person | Apologize, remove them, do not argue |
An opt-out is absolute
When someone asks to stop, treat it as final, in every way:
- Add them to a single do-not-contact list, shared by every campaign, mailbox and channel. Not only the one they answered.
- Cancel anything already queued for them, including follow-ups.
- Do it today. The United States allows up to ten business days to honor an opt-out, and there is no reason to use them. The CAN-SPAM checklist has the details; other countries have their own rules.
- Do not argue, ask why, or send "are you sure?"
- If you reply at all, one line is enough: "Understood, I won't write again."
An opt-out on one channel is an opt-out on all of them. A person who writes STOP on WhatsApp should not get an email from you the next day.
"Not interested" is information
A no is not a failure. It tells you the offer, the timing or the person was wrong. Keep the reason if they gave one. After a handful, look for a pattern: if everyone says "we already have a site", your list is wrong, not your message.
Wrong person
Ask in one line: "Thanks. Who would be the right person to talk to about this?" If they name someone, write to that person and say who gave you their name. Do not copy the original message.
Angry replies
Some owners will be annoyed, and sometimes they are right: you reached them at a bad time, or with a message that was not for them. Do three things:
- Apologize in one sentence.
- Remove them from every list.
- Do not defend yourself.
Read the reply carefully before you decide the person is the problem. A complaint about how you found them may be a sign the list needs work.
Keep a record
For each reply, record: who, when, on which channel, what they said, and what you did. If a question ever comes up later, the record shows you acted at once.
How AyePin does it
AyePin reads each reply against the whole conversation and sorts it: interested, wants a meeting, asked the price, a question, pointed to another contact, not now, not interested. It moves the lead along, cancels pending follow-ups and flags what needs your answer. A STOP is never contacted again and closes the lead, across channels, and an automatic greeting from a shop is recognised and ignored. Replies it drafts for you wait for your approval like everything else. See also how to follow up without being annoying.
